Step-by-step guide

How to use ClutchTask

Start with a task list, build up your project workspace and keep everyday work moving. Follow these steps at your own pace.

  1. Create and verify your account

Select Sign Up, enter your email, username and password, and submit the form. Open the verification email from ClutchTask and follow its link, then sign in.

Already registered? Use Sign In. If you forget your password, start a reset from the sign-in page.

  2. Create a task list

Open Manage → Tables and select the new-table form. Enter a short, recognizable name and choose Save. A table is a task list and workspace where your tasks live.

Open the Tables menu in the navbar and select the list you just created. To create more lists or update settings, return to Manage → Tables.

  3. Group related lists into a project

Open Manage → Projects. Enter a project name, select one or more task lists to connect, and choose Save. Each project must be connected to at least one list.

Projects group lists; tasks are still created inside a task list. When adding or editing a task in a list connected to projects, select the relevant project for that task. Use the project list to edit or delete a project later.

  4. Add a task and fill in its details

Open a task list and select Add task. Enter a title; add a description if you need to record context. Choose a category if relevant, set a priority and planned end date, and select a project if one is available for this list. Save the task to add it to the list.

Priorities are High, Medium and Low. Due-date colours highlight deadlines that are approaching or overdue. Keep the category, project and priority details up to date as work changes.

  5. Edit or delete a task

Expand the task and choose Edit Task to update its title, description, category, priority, planned end date or project. Save your edits, or choose Cancel to leave the task unchanged.

Choose Delete from the task actions when the task is no longer needed. Deleting a task removes its task-specific subtasks and comments too, so check before confirming.

  6. Break a task into smaller steps

Expand a task and find the Subtasks panel. Choose its add button, enter a subtask title and save. Select the completion checkbox beside a subtask when that step is done.

Use the edit action beside a subtask to change its title or description. Delete a subtask from its own action when it is no longer needed.

  7. Keep notes and discussion with the task

Expand the task and scroll to the Comments panel. Type your update or question in the comment box and choose Add Comment. Comments appear with the task so the team can find the discussion in context.

Put lasting instructions in the task description; use comments for progress updates and follow-up conversation.

  8. Prioritize and reorder your tasks

Use Do Now on an active task to move it to the top of the list. Drag a task by its handle to set your own order for other active tasks.

Use Expand All to open task details across the list or Collapse All to show a compact overview. The task opacity control can make the list easier to scan.

  9. Use the Active, Hold and Done views

Use the status links in the navbar to switch between Active, Hold and Done tasks. Choose Hold in a task's actions to pause it without deleting it; choose Resume to return it to active work.

When work is complete, select the task's completion checkbox. To restore a completed task to active work, uncheck it from the Done view.

  10. Share a task list with a teammate

Open Manage → Tables and select the settings control beside a list you administer. In the access section, enter the teammate's account username or email, choose a role and add them to the list.

The teammate must have a ClutchTask account. Remove access from the same settings area when they no longer need the list.

  11. Understand list and task roles

Viewer can see shared work, Worker can work on tasks, and Administrator can manage the list and its settings. Access to individual tasks can also be configured from the task's Role control.

Only grant the level of access someone needs. If a person cannot edit a task, check both their list role and the task's role settings.

  12. Assign or claim a task

Expand an active task and find the assignee controls at the bottom. Choose Edit, enter the teammate's username or email in the assignment dialog and select Assign. To take ownership yourself, choose Claim.

To remove the current assignee, open the assignment dialog with Edit and choose Remove.

  13. Review completed tasks

Open the Done view to review completed work. In the regular active list, recent completed tasks are also shown under Done Tasks. Use the list expand and collapse controls to review their descriptions, subtasks and comments.

  14. Archive or restore a task list

Open the list's settings and choose Archive when the list is no longer active. Archived lists are available from Archive tables in the Tables menu.

Open an archived list's settings and restore it when the work needs to become active again. Archiving a list keeps it separate from active lists rather than deleting its tasks.
